Privacy Policy
Magellan21 Technologies LLC operates Seraphine, an AI front-office platform. This policy explains what Seraphine collects, why, and how to get it deleted. It covers the Seraphine application at https://app.seraphineai.com.
What we collect
- Account information: your name, email address, and the company or workspace you belong to.
- Content you create in Seraphine: drafts, posts, replies, tasks, notes, and the approvals or edits you make to them.
- Data from accounts you choose to connect: for a social account, the profile and page information, comments, and messages the platform returns for the account you connected. For an email account, message metadata and content needed to surface tasks and draft replies.
- Business data for linked back-office accounts: rank, volume, commission and team information retrieved from your own back-office system through a read-only connection you configure.
- Usage records: which features you use, sign-in times and source IP address, and the token counts and cost of each AI call, which is how budgets and billing work.
- Standard server logs needed to operate and secure the service.
What we do not do
- We do not sell your data, and we do not share it with advertisers.
- We do not publish anything to a connected account without your explicit approval of that specific item.
- We do not use your content to train AI models. Our AI provider processes prompts to return a response and does not train on them.
- We do not access a connected account beyond the permissions you granted, and you can revoke them at any time.
Why we process it
To provide the service you asked for: drafting content in your voice, screening it for compliance, surfacing leads and tasks, answering questions about your own numbers, and publishing what you approve. Where the law requires a basis, ours is performance of our contract with you, and our legitimate interest in operating and securing the service.
Who processes it with us
We keep subprocessors to the minimum the product needs:
- Anthropic (AI model provider): receives the prompt content needed to generate or screen a specific piece of text. Anthropic does not train on API inputs.
- Microsoft Azure (hosting): stores and runs the application and its database.
- The platforms you connect (for example Meta, LinkedIn, TikTok, X, Google): receive the content you approve for publishing, and return the account data you authorized.
Google user data
If you connect a Google account, Seraphine's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to surface tasks and draft replies for you inside Seraphine. It is never sold, never used for advertising, never used to train generalized AI models, and is not read by humans except with your explicit permission, for security purposes, or as required by law.
Retention and deletion
We keep your data while your account is active. Disconnecting a platform deletes the stored access token immediately and stops all further access. You can request deletion of your account and its content at any time; see the data deletion page. We complete deletion requests within 30 days, except where we must retain records to meet a legal obligation.
Your rights
You may request access to, correction of, export of, or deletion of your personal data by writing to privacy@magellan21.com. If you are in a jurisdiction that grants additional rights, such as the EEA, the UK, or California, we honor those rights and will not discriminate against you for exercising them.
Security
Passwords are stored using PBKDF2 with a high iteration count and compared in constant time. Session cookies are HttpOnly, SameSite and Secure. Access to a connected account is scoped to the account that authorized it, and cross-account access is checked on every request and audited by an automated nightly scan. Transport is TLS throughout.
Children
Seraphine is a business tool and is not directed to anyone under 18. We do not knowingly collect data from children.
Changes
If we change this policy materially we will update the date above and notify account holders in the application before the change takes effect.
